Catch-Up and Clean-Up Bookkeeping

Books that have fallen behind, by months or by years, are fixable. We rebuild the missing period, reconcile it, and keep it current from there.

When the books have fallen behind

Books fall behind for ordinary reasons: the business got busy, a bookkeeper left, or the software was set up by the owner in whatever seemed easiest at the time. That is fine until it is not, usually the first time a lender, a partner or the IRS wants to see something the books were never set up to produce.

Catch-up and clean-up work is common, and it is usually the first thing we do for a new business client. There is no point at which books become too far behind to fix. It does get steadily more expensive the longer it waits: catch-up work takes longer per transaction than current work, because context is lost and questions have to be asked rather than remembered.

Why it is worth doing before year end

Every planning decision depends on knowing roughly where the year will land, and planning against a guess is not planning. Books caught up before the year closes leave room to act on what they show. Books caught up in the middle of filing season can only report it.

It also makes the tax appointment simpler. If the books are not in a state where a profit and loss statement can be produced, that is a bookkeeping job before it is a tax job, and it is worth addressing before the appointment rather than during it. What catch-up bookkeeping involves

  • Review how the books were set up, including the chart of accounts
  • Reconstruct the missing period from bank and credit card statements
  • Categorize uncategorized or misclassified transactions
  • Reconcile every bank and credit card account from a clean starting point
  • Correct mis-categorized history where it materially matters
  • Produce financials you can use, and that your tax preparer can work from
  • Keep the books current monthly afterwards, so it does not happen again

If someone else set the books up, we take them over as they are rather than asking you to start again from scratch. Most broken books we take over are broken through configuration rather than software, and we work in both QuickBooks and Xero.

What to gather

  • Bank and credit card statements for every business account, covering the whole period that is behind
  • Card processor and sales platform statements, if you take payments through them
  • Access to your existing bookkeeping file, if there is one
  • Payroll reports and copies of any 1099s you issued to contractors
  • Records of asset purchases, with dates and amounts
  • Details of the entity: formation documents, EIN, and any elections made
  • Your last filed business tax return

Missing statements are not a reason to wait. Banks can reissue them, and knowing what is absent early means it can be chased in parallel rather than discovered at the end.

After the catch-up

Once the books are current, keeping them that way costs far less than rebuilding them. Ongoing bookkeeping includes monthly reconciliation and reporting, with payroll alongside if you need it, and business clients can have the books and the return handled by the same firm.

Where sales tax filings were missed as well, the back periods are cleaned up through sales and use tax filing.

Frequently asked questions

How far behind can my books be?

There is no threshold at which they become unfixable. Books that are years behind are still fixable; they just take longer than books that are months behind. The period is reconstructed from bank and card statements, which between them capture nearly everything.

Can you take over books someone else set up?

Yes, and it is routine. We review how the file was set up, correct the chart of accounts and any mis-categorized history where it materially matters, reconcile from a clean starting point, and carry on from there.

What does catch-up bookkeeping cost?

It depends on how far behind the books are, how many accounts there are and how tangled things have got, so there is no flat figure. You get a figure for your situation before any work begins.

Which software do you work in?

Both QuickBooks and Xero. The setup matters far more than the choice, which is why a catch-up starts by reviewing how the file was configured.

Will you prepare my tax return once the books are caught up?
