Sales Through Payment Apps and Deposits That Never Match

Square, Stripe, PayPal, Venmo, Cash App, Shopify. Each pays you a net amount on its own schedule, and none of the deposits match a sale. The processor reports are the missing piece.

Why processor deposits never match sales

A payment processor collects the sale, takes its fee, sets aside refunds and chargebacks, sometimes holds a reserve or repays an advance, and sends you what is left, often batching several days together. The deposit that reaches the bank is a net figure made of many sales.

If the books record only the deposit, sales are understated and the fees, refunds and loan repayments never appear as expenses at all. The profit may come out close, but the sales figure will not agree with what the processor reports to the IRS.

The 1099-K problem

Processors report the gross amount they handled for you on Form 1099-K. Gross means before fees, refunds and chargebacks. If your return shows less than that total with no explanation, the mismatch can generate a notice.

The fix is in how the books are built. Sales are recorded at gross to agree with the form, and fees, refunds and chargebacks are recorded as their own lines. The reporting rules for these forms have changed more than once in recent years, so we check the rule for each year being rebuilt.

Personal payments mixed into a business payment app are a common cause of an overstated form. Those are identified and documented so they can be taken off the reported total properly.

How we rebuild it

  1. Download the transaction and payout reports from each processor for the whole period
  2. Record gross sales, fees, refunds, chargebacks, tips and sales tax collected from those reports
  3. Match each payout to the bank deposit it produced
  4. Reconcile any balance the processor was holding at each month end
  5. Agree the yearly gross to the 1099-K, and document any difference

What to send

  • Login or exported reports for each processor and sales platform
  • Every 1099-K you received, for every year
  • Bank statements for the accounts the payouts land in
  • Statements for any processor loan or advance

Frequently asked questions

My 1099-K is higher than what I actually received. Is that an error?

Usually not. The form reports gross payments before fees, refunds and chargebacks, so it is normally higher than your deposits. The books record the gross and then show the deductions separately, which brings the two into agreement.

I used a personal Venmo or Cash App for business. Can that be fixed?

Yes. The business payments are separated from the personal ones using the app’s history, and each is recorded for what it was. Going forward, a business profile or a separate account keeps the two apart. See personal and business money mixed together.

The processor took loan repayments out of my sales. How is that recorded?

The full sale is still income. The amount withheld is a repayment of the advance, with part of it being the cost of the financing. Recording only the net deposit hides both. See loans and owner money.
