Best Bookkeeping Apps for Small Businesses

A small business bookkeeping setup is usually several apps, not one. Here are nine real products, grouped by the job they do, described from each vendor's own site.

Most comparisons treat bookkeeping software as a single choice. In practice, a working setup has layers: a ledger that holds the books, a way to capture receipts and bills, a way to handle employee expenses, and a bank account whose data flows cleanly into the ledger. Choosing well at each layer matters more than picking a winner at the top.

Before you start

What to weigh before you commit:

  • Who will use it: the owner, a staff member, or an outside bookkeeper. Ask your bookkeeper what they work in daily.
  • Bank connections: reliable feeds from your actual bank and card accounts save more time than any other feature.
  • Accountant access: your preparer should be able to log in, not wait for exported spreadsheets.
  • Payroll and sales tax: decide whether they live inside the ledger or in a connected app.
  • Records: the IRS allows electronic records, but the system must clearly show income and expenses and keep the supporting documents.

QuickBooks Online

Accounting ledger · Intuit

Intuit's cloud accounting product connects to bank accounts to sync transactions, handles invoices and estimates, tracks income and expenses, and produces profit and loss statements and balance sheets. Paid plans include access for outside accountants, payroll is available as an add-on, and mobile apps support receipt capture.

Its main practical advantage in the United States is familiarity: many bookkeepers and preparers already work in it daily.

Xero

Accounting ledger · Xero

Xero is online accounting software that connects to your bank, your accountant or bookkeeper, and other business apps. Its US site highlights invoicing, payroll and payments working together, bill management and real-time cash flow insight, and it now includes an AI assistant for answering questions about cash flow and creating invoices.

It is a strong fit when several people need access or when the interface matters to whoever keeps the books.

FreshBooks

Invoicing-first accounting · FreshBooks

FreshBooks started from invoicing and billing, and its site still leads with them: invoices with tracked time and expenses added automatically, online payments and reminders. It also offers double-entry accounting with a customizable chart of accounts, profit and loss, balance sheet and trial balance reports, bank reconciliation, mobile receipt scanning, mileage tracking and embedded payroll.

Service businesses that bill by time or project often find it natural.

Wave

Accounting ledger for very small businesses · Wave

Wave describes itself as accounting and bookkeeping software for small businesses, freelancers and creators. It supports unlimited bookkeeping records and small business reports with month-to-month and year-to-year comparisons, and its Pro Plan adds automatic import, merging and categorization of bank transactions with unlimited bank and card connections.

It suits sole proprietors and side businesses with simple books.

Zoho Books

Accounting ledger with inventory · Zoho

Zoho Books is cloud accounting software that covers invoicing, expenses, inventory, purchase orders, time tracking and bank transaction matching, with a vendor portal. It fits businesses that hold stock or already use other Zoho applications.

Hubdoc

Document and receipt capture · Hubdoc

Hubdoc collects bills, receipts and statements by mobile photo, email forwarding, scanning or upload, reads supplier names, amounts, invoice numbers and due dates, and creates transactions in Xero or QuickBooks Online with the source document attached. Your accountant can be given access directly.

It solves the most common bookkeeping gap: expenses recorded with no receipt behind them.

Dext

Receipt and invoice capture · Dext

Dext automatically captures receipts, invoices and expenses, extracts and categorizes the data, and syncs it to Xero, QuickBooks or Sage. If you work with an outside bookkeeper, ask whether they already use a capture tool like this, since sharing one saves a hand-off.

Expensify

Employee expenses and reimbursements · Expensify

Expensify handles receipt scanning, expense reports, approvals and reimbursements, plus travel booking and a company card. It integrates with QuickBooks, Xero, Sage Intacct, NetSuite, Gusto and others, and offers setups for individuals, teams of one to nine and larger teams.

Once employees spend money on the business's behalf, a tool like this helps keep reimbursements documented, which matters if you run them through an accountable plan.

Relay

Business banking with accounting sync · Relay

Relay is an online business banking and money management platform. Its integrations page says it syncs detailed transaction data and monthly statements into QuickBooks Online and Xero, and connects with Gusto, Expensify and other tools. Relay notes that it is a financial technology company, not a bank; banking services are provided by a partner bank.

Clean bank data at the source makes every reconciliation easier, whichever ledger you use.

Putting the stack together

A simple, reliable setup for many small businesses looks like this: a dedicated business bank account, one ledger (QuickBooks Online, Xero, FreshBooks, Wave or Zoho Books), and one capture tool so every expense has a document attached. Add an expense app only when employees start spending on the business's behalf.

Whatever you choose, the software does not reconcile itself. Someone still has to review the categorized transactions and reconcile each account every month. What the IRS expects from your records

The IRS lets you choose any recordkeeping system suited to your business, as long as it clearly shows your income and expenses, and electronic systems are allowed if they meet the same basic principles as paper. What it expects behind the entries are supporting documents: sales slips, invoices, receipts, deposit records, canceled checks and payroll records. An app that stores the image of each receipt alongside the transaction does much of this work for you.

Which bookkeeping app is best for a small business?

The best app is the one that the person keeping your books will use consistently and that connects reliably to your bank. If an outside bookkeeper or preparer handles your books, start with whatever they work in daily. If you keep them yourself, try two options on a trial and choose the one you find clearer. Can I keep receipts only in an app?

The IRS says an electronic accounting program or other electronic system should meet the same basic recordkeeping principles as paper records. In practice, that means each image must be clear enough to show the payee, amount, date and what was bought, and it must stay backed up and retrievable for as long as the return it supports can be examined. Do I still need a bookkeeper if I use accounting software?

Software automates data entry and matching, but it does not decide whether a transaction is categorized correctly, catch a missed deposit, or know that a payment was an owner draw and not an expense.
